About the 18th JIIMA Best Practice Award Winners

 The public interest incorporated Japan Image and Information Management Association (JIIMA) is the only certified organization in Japan that has been working to promote Document and Information Management for over 65 years. The activities that started with the spread of microfilm have changed with the times, and now we continue to engage in public interest activities to promote Document and Information Management with the aim of becoming "an association that leads the acceleration of DX through the practice of Document and Information Management in order to increase the value of all organizations in Japan." As part of this, we have established the "Best Practice Award" to honor companies and organizations that have introduced advanced Document and Information Management systems and achieved remarkable results since 2007 (Heisei 19).
  This year's 18th JIIMA Best Practice Award was awarded to the following four cases after rigorous screening by the judging committee, and the award will be announced on the JIIMA website, and a commemorative lecture will be held at the JIIMA-sponsored "Digital Document 2024 Webinar" to be held on Wednesday, November 13th.

1. Fukuoka Transportation Co., Ltd. [Excellent Award]

・Recommender: Canon Marketing Japan Inc.

・Theme: "By eliminating paper from receipt storage, we have achieved centralized management of receipts and delivery data, enabling immediate response to inquiries and greatly improving operational efficiency."

・Evaluation point: As one solution to the logistics industry's 2024 problem, the system goes beyond simply storing paper receipts electronically. It also incorporates automatic matching with delivery data in existing systems, enabling Document and Information Management that enables accurate, comprehensive, and utilizable centralized management of information generated in delivery operations. This was evaluated as being one of the solutions to the 2024 problem in the logistics industry.

In line with the industry-wide trend, the company has taken a cutting-edge approach to "documents generated at bases," a field for which in-depth reform has been delayed until now, and has achieved business reform.

2. MM Bridge Co., Ltd. [Excellent Award]

・Recommender: Ricoh Japan Co., Ltd.

Theme: "Realizing digital transformation in purchasing operations in response to the Electronic Bookkeeping Act - Innovating operations through digitalization, creating an environment that supports flexible work styles"

・Evaluation points: By creating a matrix of the relationship between the target business processes and the forms used, and by performing document management that takes into account the characteristics of the documents, complex document management has been well organized. The document link function has been set up in the documents, and by setting up links that allow related documents to be quickly referenced by keywords, the ease of referencing related documents in the workflow has been improved.

Business operations have been improved by integrating SaaS services with the company's own systems (digitalization through integration of the company's on-premise core system with SaaS services), which is cutting-edge in that it has made it possible to digitize operations without changing the business flow.

3. Fujifilm BI Fukui Co., Ltd. [Encouragement Award]

・Recommended by: Apix Co., Ltd.

Theme: "Creating a foundation for promoting company-wide digital transformation through activities to build a new information asset management environment and working to change the mindset of all employees"

・Evaluation point: Although it cannot be said to be advanced, it is an exemplary case of following the royal road to rebuilding the Document and Information Management environment and putting it into practice honestly. In promoting in-house DX, rather than simply proceeding with the introduction of systems and tools, the company first streamlined the flow of information and placed importance on creating a foundation for clarifying information asset management, and the company-wide sincere efforts in this area can be evaluated as activities that should be undertaken by companies promoting DX.

Reflecting on the fact that the company had not yet confirmed the establishment of operations or measured their effectiveness, it has reviewed its promotion structure in order to achieve its original objectives, and has redefined its goals to include proceeding with the digitization of customer information (contracts, management forms, etc.) in preparation for digitalization, as well as promoting the management of important information assets and improving user convenience. It appears that the company is steadily moving forward with the establishment of a new information asset management environment, so please make sure to follow up on this point when presenting case studies.

4. Saitama Prefectural Central Vegetables Co., Ltd. [Encouragement Award]

・Recommended by: AIS Co., Ltd.

Theme: "Complying with the Electronic Bookkeeping Act and digitizing all company documents in the fruit and vegetable wholesale market"

・Evaluation points: The system incorporates the document management rules necessary for business operations and the method of handling documents required for compliance with the Electronic Bookkeeping Act, and as a result, even if the user company lacks knowledge and experience in Document and Information Management, with the support of the system engineer who implemented the system, they were able to determine document management rules in a short period of time and continuously maintain document management based on Document and Information Management, which can be evaluated as being commendable. However, there is a lack of explanation from the user's perspective, and it cannot be evaluated as having demonstrated the innovativeness that is the purpose of the award, so it has been given an Encouragement Award.

Founded in 1958 as the Japan Microphotographic Association, it was renamed the Japan Image Information Management Association in 1995, and was later recognized as a public interest association by the Cabinet Office in 2013, changing its name to its current name.
